Job Title:

Executive Assistant

 

Personnel in charge: none

Workplace: One UN Plaza, 25th Floor, New York

Workday: Full working day (8 hours daily)

Role:

Carry out secretariat tasks in accordance with the requirements of the agenda of the Permanent Representative and Deputy Permanent Representative of the Mission of Argentina to the United Nations.

Main Activities and Tasks:

 

  • General office management including: determine priorities and inform the Ambassador of matters requiring attention.
  • Prepare and manage the Ambassador´s program and schedule of meetings, including arranging official appointments.
  • Handle the Ambassador´s email account and correspondence, including writing notes verbales and formal letters.
  • Deal with incoming and outgoing phone calls, especially with the Ministry of Foreign Affairs and Worship of Argentina.
  • Make travel arrangements and bookings for the Ambassador.
  • Assist with coordination of multiple diplomacy events, including sending digital and snail mail invitations, preparing RSVP lists and making follow-up calls.
  • Liaise with all other Mission´s sections, especially with the Residence Manager and Ambassador’s driver. 
  • Maintain the Ambassador’s contact databases updated.
  • Prepare diplomatic cables as required.
  • Supervise visitors and cleaners while in the restricted area and place stationary and supplies orders when needed.
  • Welcome and escort official visitors and serve refreshments.
  • Others duties as required

 

Type of Responsibility:

 

Assumes responsibility for the correct application of procedures, methods and routines, in particular, as well as for the adequate result of the individual or group tasks subject to instructions from his superior and certain working rules, with alternatives of simple choice of means for their performance.

Personal qualities, qualifications and experience:

 

* Education: Complete High School or higher level, corresponding to administrative technical orientations of training cycles of more than FIVE (5) years; or complete High School studies with knowledge and basic skills for the tasks through specific training or related work experience of at least FIVE (5) years.

* Experience: Minimum of 2-3 years in the same or similar position.

* Languages: English and Spanish language proficiency required.

* Skills: Proactivity, results orientation, commitment to the organization, teamwork and cooperation, flexibility.

* Knowledge: Accredit training activities and / or training related to the function, in terms of executive assistance, administrative procedures, handling of computer applications for word processing, spreadsheet, graphic representations, email and Internet

* Have a residency and/or work permit in the United States of America.
